Trader Terms and Conditions

By submitting an application to trade at a Black Lotus Markets event, you agree to be bound by the following terms and conditions. Please read them carefully before applying.

1. Applications and Allocation

All applications are subject to review and approval by Black Lotus Markets.

Submitting an application does not guarantee a place at any event. We will confirm successful applications in writing by email.

For Artisan Markets, we do not allow duplicated stalls. Where two or more similar businesses apply for the same date, we will allocate spaces fairly to ensure a variety of traders at each event. Black Lotus Markets reserves the right to make all final allocation decisions.

For Family Fun Days, duplicated stalls may be accepted but will be positioned separately to ensure fair trading opportunities for all.

Applications for our mailing list will be opened first before being made available to the general public. Applications remain open until the stated closing date, after which we will review and confirm successful dates.

2. Stall Fees and Payment

The following stall fees apply per day:

  • 3x3 Gazebo Space: £30 per day

  • Food Truck: £60 per day (selected dates only)

  • Rides and Attractions: £60 per ride (selected dates only)

A non-refundable deposit of £10 per market date is required at the time of booking to secure your place. This deposit is deducted from your total balance.

The remaining balance is due two months before each event date. Failure to pay the remaining balance by the due date may result in your place being reallocated without refund of the deposit.

All invoices must be paid within 3 working days of issue.

All prices are listed in GBP. Payments are processed securely through our payment provider.

3. Cancellations and Refunds

The £10 deposit is non-refundable under any circumstances.

If you need to cancel your place, you must notify us in writing to blacklotusmarkets@gmail.com as soon as possible.

Cancellations made before the remaining balance due date will not be charged the remaining balance. The deposit will not be refunded.

Cancellations made after the remaining balance has been paid will not be eligible for a refund unless required by UK consumer law.

Black Lotus Markets reserves the right to cancel or postpone an event due to circumstances beyond our reasonable control, including but not limited to severe weather, venue issues, or public safety concerns. In such circumstances, we will endeavour to offer an alternative date or a credit toward a future event.

Refunds will be considered on a case by case basis.

4. Trader Responsibilities

By agreeing to trade at a Black Lotus Markets event, you agree to:

  • Pay all invoices within 3 working days of issue

  • Arrive and set up on time as directed in your stallholder briefing

  • Stay for the full duration of the event

  • Keep your stall area clean and tidy throughout the event

  • Report any issues or concerns directly to the Black Lotus Markets team on the day

  • Park and trade thoughtfully and with care for the venue, other traders, and visitors

  • Promote your attendance at the event through your own social media channels and website where possible

5. Products and Conduct

All products to be sold at your stall must be declared on your application form. If products on your stall on the day are found to have not been declared and approved on your application, you may be asked to remove those products immediately.

If unapproved products are not removed when requested, you may be asked to leave the event. In this instance, no refund will be given.

Black Lotus Markets reserves the right to refuse any trader or product that we consider inappropriate, offensive, or not in keeping with the ethos of our events.

6. Insurance Requirements

All traders must hold a minimum of £1 million Public Liability Insurance to trade at any Black Lotus Markets event.

A copy of your valid Public Liability Insurance certificate must be submitted with your application. Your certificate must remain valid for the full duration of any event you are booked to attend.

Traders who cannot provide valid Public Liability Insurance will not be permitted to trade.

7. Risk Assessment

All traders must submit a completed Risk Assessment Form with their application.

It is your responsibility to ensure your stall and setup is safe for the duration of the event.

8. Food Traders

The following additional requirements apply to all food traders:

  • A valid Food Hygiene Certificate must be submitted with your application and must be visibly displayed on your stall on the day

  • Local Authority Documentation must be submitted where required

  • Your Food Hygiene Rating must be declared on your application

  • Food Allergens signage must be visible on your stall at all times during the event

  • A Gas Certificate must be submitted where applicable

Failure to comply with any food trader requirements may result in you being asked to cease trading for the day. No refund will be given in this circumstance.

9. On the Day

Full event details including setup times, parking arrangements, and site maps will be sent to confirmed traders in advance of each event.

Traders must follow all reasonable instructions given by the Black Lotus Markets team and the venue on the day.

Black Lotus Markets is not responsible for loss, theft, or damage to trader property, stock, or equipment at any event.
